The Finance and Purchase Committee for the Academic year 2019-20 is reconstituted with the following members and they are requested to discharge their duties with the following guidelines.

Functions

  1. The Committee should seek the yearly Budget from each Department of the College.

  2. The members of the Committee along with the Convener should call for a meeting with the concerned HOD to finalize the purchase of Equipment/Chemicals/Glassware and consumables.

  3. After finalization and subject to availability of funds being sanctioned by the management, the Committed shall call for Quotations.

  4. With the help of faculty, the HOD should prepare a Comparative Statement of Quotations, completing the negotiations process with the concerned organizations/companies.

  5. The committee will issue the purchase order to the Company/Organization after obtaining necessary permission from the management.

  6. After obtaining the Equipment / items, the Committee should verify the items and bills and equipment should be handed over to the concerned HOD in the presence of Convener.

  7. After verifying the entries in the Stock Register of the concerned Department, the Committee should submit the Bills to the Director for onward transmission to the management for Final payment.

  8. The Committee should prepare a Budget for the academic year 2019-20 after getting inputs from the Office and Purchase Committee.

  9. The Committee should hold monthly meeting to review the Financial implications of the College.

  10. The Committee should monitor the cash receipts and expenditure outflow and should guide the concerned Office Clerks to prepare monthly Reconciliation Statement to be submitted to the Director at the end of every month.

  11. All the Purchase orders finalized by the Purchase Committee should be vetted through Finance Committee.

  12. The Finance Committee should monitor the Miscellaneous Expenditure made under different heads and should prepare Half-Yearly reports to be submitted to the Director for onward transmission to the management.

  13. At the end of the Financial Year, a Comprehensive Report is to be prepared for the purpose of Audit verification.

Functions

  1. The committee shall verify the books requirements submitted by the Head of the Department with available of stock as per the Norms of AICTE, Andhra University / AICTE.

  2. The committee shall verify the Physical verification of stock once in a year.

  3. The Committee shall verify the bills with Physical and same may be forwarded to Director for onward transmission to management for payment.

  4. Any other issue for improvement of Library facilities.
